Deactivating a Participant
When a participant ends their participation in the trial, you can deactivate their record to end data collection and stop notifications from being sent to them. Use the following scenarios to determine which action to take:
- If the participant is withdrawing or completing the study, populate the Study Withdrawn or Study Complete events. See the Withdrawing or Ending Study Participation for a Participant section on the Viewing and Updating Events page for more information. Based on the study design, you may be prompted to deactivate the participant or the system will do it automatically.
- If the participant is no longer on the trial for some other reason, deactivate the participant.
- If the participant record was created in error, deactivate the participant. You cannot remove participant records from Veeva eCOA.
After deactivation, participants can still log in to the app to access study information and in-progress surveys and offline submissions continue to be processed for the participant, but new survey requests and notifications are not sent.
Complete the following steps to deactivate a participant:
- View the participant’s details.
- At the bottom of the panel, select Deactivate Participant.
- Add a Reason for Change.
- Select Deactivate.
The participant is deactivated.
Activating a Participant
You can activate a participant that was previously deactivated if you need to enable more data to be collected. When you reactivate a participant, their status returns to Active.
Surveys that were available when the participant was last Active will not become available again. If you need them to become available again, update the event date of the event the surveys are associated with.
Complete the following steps to activate a participant:
- View the participant’s details.
- At the bottom of the panel, select Activate Participant.
- Add a Reason for Change.
- Select Activate.
The participant is activated.
If you reactivate a participant who has a Study Complete or Study Withdrawn event, remove the event date to make sure the participant can continue participating in the study.
