Classify Documents in the Study eBinder

Documents in the Document Inbox folder can be classified by administrators or members of the study team. Once classified, the document can be approved or sent on a workflow.

The eBinder Document Viewer allows you to page through all unclassified documents in the Document Inbox. When you choose to classify a document from the eBinder Document Viewer, you can also approve the document (select its upload state), perform copy certification, and more.

Classify a Document in the Study eBinder

Complete the following steps to classify documents in the Document Inbox:

  1. Access the Study eBinder.
  2. Select a study.
  3. Select the Document Inbox folder.
  4. Select a document to open it in the eBinder Document Viewer. NOTE: Keyboarding is available in the eBinder Document Viewer (ex. Use the arrow keys to navigate back and forth through the documents).
  5. Select Classify.
  6. Select the Document Type. You will be alerted if an existing study document is found to be a file or document type match.
  7. Select the upload state:
    • Draft: The document requires additional processing/review (updates, signatures, etc.).
    • Final State: (state label depends on Document Type chosen in the previous step): Document is complete with no further processing needed.
  8. Complete any Additional Actions:
    • To perform Copy Certification, select Additional Actions > Perform Copy Certification, then verify if the document is an exact or redacted copy.
  9. Complete the Description field with details not captured in other document fields.
  10. Complete the Document Date field with the most meaningful date to uniquely identify this document version (for example, version date, approval date, log end date, meeting date, etc.).
    • If available, complete the optional Start Date field. This date should reflect the earliest date of recording or capturing in this document. The latest date of data recording in this document should be added in the Document Date or End Date fields.
    • If available, the Expiration Date field with the date on which the document is due to expire.
  11. If the document should have limited visibility to avoid revealing private information (ex. the study is masked or blinded), select Yes in the Restricted field.
  12. Populate any remaining fields.
  13. Select Save to apply your updates and move to the next document in the Document Inbox. Use the arrows at the top (or arrow keys) to navigate through the remaining documents.

Remove an Unclassified Document from the Document Inbox

Complete the following steps to delete documents in the Document Inbox:

  1. Access the Study eBinder.
  2. Select a study.
  3. Select the Document Inbox folder.
  4. Select a document to open it in the eBinder Document Viewer. NOTE: Keyboarding is available in the eBinder Document Viewer (Ex. Use the arrow keys to navigate back and forth through the documents).
  5. To remove the document from the Document Inbox, select Delete.
