Transcribing Surveys

Managing Survey Availability and Status

You can mark a survey as Intentionally Left Blank to let the sponsor know that the data was not collected and why. Some reasons you may need to leave a survey blank include:

  • Transcribing a survey: This status makes the survey available for transcription.
  • Handle surveys incorrectly assigned twice: This status ensures that eCOA does not collect additional duplicate data.
  • Prevent collection of a survey on an Unscheduled Event: This status ensures that eCOA does not collect unnecessary data.

You can only mark a survey as blank if it is currently available.

Complete the following steps to mark a survey as Intentionally Left Blank:

  1. Select the available survey you want to leave blank.
  2. Select the Actions icon {Actions menu button} at the top of the page, and select Intentionally Leave Blank. The Intentionally Left Blank popup box opens.
  3. If updating a survey that has more than one part, select the parts you want to mark as Intentionally Left Blank, and select Continue.
  4. Enter a Reason for Change, and select Submit.

Once submitted, the survey status is displayed as Intentionally Left Blank in eCOA and on all associated reports.

Transcribing Surveys

If survey data was collected on paper, you can transcribe the data if the survey has a status of Intentionally Left Blank or after the due date has passed.

Complete the following steps to transcribe a survey:

  1. Select the missed survey you want to transcribe.
  2. From the Actions icon {Actions menu button}, select Transcribe Survey.
  3. If the survey has multiple parts, select the parts you want to transcribe and select Continue.
  4. Enter the Assessment Date and select the Timezone and Reason for Transcription.

Note The Assessment Time is optional, but if you know the time, you should provide it.

  1. Select Start Transcription.
  2. Transcribe all survey data as it was provided to you, and when finished, select Next if you are transcribing multiple parts, or Confirm if the survey or all parts have been completed.

The survey or survey parts are transcribed, and the completion information is added for it.
