Overview
To ensure accurate study invoicing, it is important to accurately record the activities that occurred during a visit before updating the visit status to Completed.
When you complete a visit in SiteVault, it indicates that the visit’s required activities were completed and optional activities were skipped. If the visit deviates from these expectations, you must open the visit and adjust the activities to match the actual visit experience.
Mark Visit as Complete - All Expected Activities Were Completed
If the visit activities were completed as expected, complete the steps below.
- Navigate to Studies > Select Study > Participants.
- Select the participant.
- Select Visits.
- Update the visit’s Status to Completed.
- Select the Completed Date.
- Optionally, enter additional information in Notes.
- Select Save.
- Actual visit dates take precedence over scheduled dates when computing target dates. Marking a visit complete triggers the Target Date column to update if the actual visit date differed from the scheduled date. If any future visits are already scheduled, review and update as needed to ensure the visits occur within the revised targeted timeframes.
Mark Visit as Complete - Add or Remove Activities
If the visit included any changes from the expected activities, complete the steps below.
- Navigate to Studies > Select Study > Participants.
- Select the participant.
- Select Visits.
- Select the visit.
- Note the following:
- Add repetitions to activities completed more than once.
- Check the boxes for any skipped activities.
- Add any optional activities by selecting the plus icon (+).
- Select the Edit icon to update any additional details or add a note.
- Change the Status to Completed.
- Select the Completed Date.
- If you select a date in error, return the status to Incomplete and adjust.
- Select Save.

Edit a Completed Visit
To edit a completed visit, you must reopen it and then edit. However, editing the visit activities list is not allowed if billable items associated with the visit have been invoiced (however, it is possible to remove billable items from a sent invoice).
