Sending Proposed Study Delegations to Site Staff for Acceptance
When you’re finished managing a study team member’s delegations, complete the following steps to send the proposed delegations for acceptance:
- Navigate to and open the Study Assignment page for the study team member.
- Select Send Delegations for Acceptance and start the action. SiteVault sends the user a task to review and accept their delegations.
Sending Accepted Study Delegations for PI Approval
When a study team member accepts their delegations, SiteVault creates a PI Approval record that you can send to the PI for approval. The PI Approval record contains all of the currently accepted but unapproved delegations. As more study team members accept their delegations, SiteVault adds the newly accepted delegations to the PI Approval.
PI Approval can be sent at any time as long as at least one study team member has accepted their delegations and there are no outstanding PI Approval workflows.
Delegations accepted while a PI Approval workflow is in progress will not be added to the outstanding workflow. You can add the accepted delegations to another PI Approval record once the current workflow is complete or cancel the current workflow and update it to include the additional acceptances.
Complete the following steps to send the delegations for PI approval:
- Ensure that the PI is added to the study as a study team member with the role of Principal Investigator in the Active state.
- Navigate to the study and expand the Delegations Ready for PI Approval section, then select the link for the PI Approval record to open the PI Approval page.
- If needed, expand the Study Staff Delegations section to review the delegations.
- Select Send Delegations for PI Approval on the page and start the action. SiteVault sends the PI a task to review and approve the study assignments and delegations.
Cancel an Acceptance or Approval Workflow
Complete the following steps if you are the workflow owner and must cancel a study team member’s acceptance or PI approval workflow:
- Access Home > Active Workflows.
- Locate the workflow.
- From the workflow’s Action menu, select Cancel Workflow.
- Select Continue to complete the process.
Editing an Active PI Approval Record
Complete the following steps if you are the workflow owner and you must update a PI Approval Record that has been issued but not yet approved:
- Cancel the PI Approval Workflow
- Access Home > Active Workflows.
- Locate the PI Approval workflow.
- From the workflow’s Actions menu, select Cancel Workflow.
- Select Continue to complete the process.
- Update the study team member’s study assignment status
- Access the study.
- Access the study team member’s Study Team Assignment.
- From the Workflow Actions menu, select Go Back to Proposed Changes - Acceptance Needed.
- Select Yes to confirm your intent.
- Edit the study team member’s delegations as needed
- Expand the Study Staff Delegations section.
- Select Edit to update as needed.
- Select Save to complete the process.
- Resend to the study team member for acceptance
- From the Workflow Actions menu, select Send Delegations for Acceptance.
