Managing ePRO Languages For Your Site and Study

Manage the languages that your site and study support for ePRO.


Note Veeva ePRO is only available to sites conducting a study whose sponsor is utilizing Veeva ePRO in a Clinical Vault.

While your sponsor may create an ePRO collection that contains many languages, your site might support a subset of those languages. Site administrators can select which languages your site supports on the site’s record page and select which ePRO languages your study supports on the study record page.

Adding or Updating Supported Languages to Your Site

Site administrators can select which languages your site supports on your site’s record page in SiteVault. Selecting supported languages for your site ensures that any ePRO collection you connect to is only provided in languages that your site supports.

It also ensures that participants receive surveys and notifications in a language supported by your site and your study’s ePRO collection. If your study’s ePRO collection doesn’t support the language selected for a participant in SiteVault, we send their surveys and notifications to them in English. If English isn’t supported by your study, we send their surveys and notifications to them in the first language the study supports when sorted alphabetically.

By default, your site doesn’t have any supported languages selected. If you don’t select your site’s supported languages prior to connecting a study to an ePRO collection, you can still connect your study to an ePRO collection, but you receive all ePRO languages that your sponsor added for the study regardless of whether your site supports them or not.

To add or update your site’s supported languages, complete the following steps:

  1. Select the Profiles tab and select Sites from the drop-down menu.
  2. Select your site from the list. You can use the search bar at the top of the page to filter your results.
  3. On the site record page, select Edit (Edit Icon).
  4. Select the Supported Languages field.
  5. Select your site’s supported languages from the drop-down menu.
  6. Select Save.

Adding ePRO Languages to Your Study

If additional languages are needed for your study’s ePRO, site administrators can manually add ePRO languages to the study in order to receive the ePRO collection in the languages your site requires.

To add a language to your study’s ePRO, complete the following steps:

  1. On the study record page, select Edit (Edit Icon).
  2. Select the ePRO Languages field.
  3. Select the language you want to add from the drop-down menu.
  4. Select Save.

Only languages included in your sponsor’s ePRO can be added to your study’s ePRO languages. If you add a new language to your study’s ePRO languages and it’s supported by your sponsor’s ePRO, a new ePRO collection document is created that includes the language’s information, and you need to approve the new ePRO collection document for use by your site.

If you add a new language to your study’s ePRO languages that isn’t supported by your sponsor’s ePRO, you’re notified with an error message.

Removing ePRO Languages from Your Study

If you need to remove a language from the list of ePRO languages your site supports, site administrators can remove it on the study record page before approving an ePRO collection that supports that language.

To remove a language from your study’s ePRO, complete the following steps:

  1. On the study record page, select Edit (Edit Icon).
  2. Select the ePRO Languages field.
  3. In the editable field, locate the language you want to remove from your study.
  4. Select the small black X icon to the right of the language’s name.
  5. Select Save.

Note You can’t remove an ePRO language that has been previously approved as it could be in use by participants.
