Permission-Based Access Your user account must have permission to use this functionality. If you do not have this permission, the section or action button is hidden. If you think you should have access and you do not, contact your study Sponsor/CRO.

You can make the following changes to survey data:

- [Change Completed Survey Data](#changing-completed-survey-data) or [Request Survey Data Change Approval](#requesting-survey-data-change-approval-from-your-sponsor-or-cro) from Your Sponsor/CRO
- [Mark a Currently Available Survey as Intentionally Left Blank](#marking-surveys-as-intentionally-left-blank)
- [Remove Survey Data Collected in Error from a Report](#remove-survey-data-collected-in-error-from-report)

Note To change event dates, see [Working with Events](/gr/ecoa/capturing-data/working-with-events/).

You can also revert the changes you make. All changes are tracked in the Audit report. See the sections below for more information.

## Changing Completed Survey Data

Sponsor-Controlled Access Only available when turned on by your study sponsor/CRO or after your study sponsor/CRO approves a data change request.

Restricted Data May Be Hidden If a survey contains restricted data and you do not have permission to view it, you cannot view or update that data.

### Video Overview

### Step-by-Step Instructions

This option may be unavailable or limited to a certain timeframe based on how your study is configured. For surveys with multiple parts, all survey parts must be in a final state before you can change data. If you are unable to change survey data or the time window for allowed changes has passed, you can [request data change approval from your sponsor/CRO](#requesting-approval), and then complete these steps after the data change request is approved. If a survey contains restricted data, you cannot view or update that data if you do not have permission to view it.

1. On the participant’s page, select **View All Past Surveys**. Alternatively, select the event the survey is associated with.
2. Select the completed survey you want to update. You may need to [filter the list](/gr/ecoa/working-with-study-data/working-with-past-surveys/) to find the survey you want to update.
3. Select **Start Data Change** from the Actions menu ![{Actions menu button}](/gr/uploads/ecoa/images/icons/23R3_More_Options.png).
4. If updating a survey that has more than one part, select the parts you want to update, and select **Continue**.
5. Make all updates.

Note If you need to replace an attachment that includes Personally Identifiable Information on an eClinRO survey, you can select **Delete Media** on that question to remove the document completely. If you delete an attachment, it will no longer be viewable on any reports, exports, data transfers, or any other viewable location. If you do not have a document to replace it with, you can upload a blank document.

1. If working on survey part updates, select **Next** to continue to another part, or **Confirm** if you are finished updating all survey parts.
2. Review your changes, enter the reason for the changes, and select **Submit**.
3. In the confirmation that is displayed, select **Continue** to update the survey answers.

## Requesting Survey Data Change Approval from Your Sponsor/CRO

When survey data changes are not enabled for the survey you need to update or the time window for allowed changes has passed, you can submit a data change request for the sponsor/CRO to review and approve.

You can keep track of where the request is at in the submission process with the following statuses:

- **Submitted:** A site user submitted the request, but it has not yet been reviewed by the sponsor/CRO.
- **Approved:** The sponsor/CRO reviewed and approved the request.
- **Rejected:** The sponsor/CRO rejected the request. You can submit a new data change request, but you cannot reopen a request that has been rejected.
- **Canceled:** You canceled the request before it was completed.
- **Completed:** The request was approved and the data change was completed.

Complete the following steps to send the request:

1. View the completed survey and select the **Actions** menu ![{Actions menu icon}](/gr/uploads/ecoa/images/icons/23R3_More_Options.png).
2. Select **Request to Change Data**.
3. Enter a reason for the request.
4. Select **Submit Request**. A message indicating that the request has been submitted is displayed.
5. Select **Close**.

The request is sent to the sponsor/CRO for review. You will receive an email notification after the sponsor/CRO approves or rejects your request. If approved, you can complete the steps in the [Changing Completed Survey Data](#changing-completed-survey-data) section to change the survey data.

## Viewing and Canceling a Survey Data Change Request

You can view the status of a data change request at any time. You can cancel the request as long as the data change has not been completed.

1. View the completed survey and select the **Actions** menu ![{Actions menu icon}](/gr/uploads/ecoa/images/icons/23R3_More_Options.png).
2. Select **View Data Change Request**. The Data Changes view opens.
3. Select the request you want to view. Request information is displayed.
4. If you want to cancel the request, select **Cancel Request**.

## Marking Surveys as Intentionally Left Blank

You can mark a survey as Intentionally Left Blank to let the sponsor know that the data was not collected and why. Some reasons you may need to leave a survey blank include:

- **[Transcribing a survey:](/gr/ecoa/capturing-data/transcribing-surveys/)** This status makes the survey available for transcription.
- **Handle surveys incorrectly assigned twice:** This status ensures that eCOA does not collect additional duplicate data.
- **Prevent collection of a survey on an Unscheduled Event:** This status ensures that eCOA does not collect unnecessary data.

You can only mark a survey as blank if it is currently available.

Complete the following steps to mark a survey as Intentionally Left Blank:

1. Select the available survey you want to leave blank.
2. Select the Actions icon ![{Actions menu button}](/gr/uploads/ecoa/images/icons/23R3_More_Options.png) at the top of the page, and select **Intentionally Leave Blank**. The Intentionally Left Blank popup box opens.
3. If updating a survey that has more than one part, select the parts you want to mark as Intentionally Left Blank, and select **Continue**.
4. Enter a **Reason for Change** , and select **Submit**.

Once submitted, the survey status is displayed as Intentionally Left Blank in eCOA and on all associated reports.

## Reinstating a Blank Survey

If a survey has been intentionally left blank in error, you can reinstate it to collect data.

Complete the following steps to reinstate a survey that was Intentionally Left Blank.

1. Select the survey that was intentionally left blank.
2. Select the **More Actions** icon ![{Actions menu button}](/gr/uploads/ecoa/images/icons/23R3_More_Options.png) at the top of the page, and select **Reinstate Survey**. The Reinstate Survey box opens.
3. If updating a survey that has more than one part, select the parts you want to reinstate, and select **Continue**.
4. Enter a **Reason for Change** , and select **Submit**.

Once submitted, the survey will be scheduled according to its schedule. The survey can be reinstated to a **Missed** state if the due date has passed.

## Moving a Completed Survey

Permission-Based Access Your user account must have permission to use this functionality. If you do not have this permission, the section or action button is hidden. If you think you should have access and you do not, contact your study Sponsor/CRO.

If a survey was completed for the wrong event, you can move it to the correct event. Complete the following steps to move the survey:

1. View the survey you need to move.
2. Select the **More Actions** icon ![{Actions menu button}](/gr/uploads/ecoa/images/icons/23R3_More_Options.png) at the top of the page, and select **Move Survey**. The Move Survey popup box opens.
3. Select the destination event. You can only select events that have already happened or are currently available.
4. Enter a **Reason for Change** , and select **Move Survey**. A confirmation box opens.
5. Select **Continue**. The survey is moved to the selected event.
6. Select **Close**.

If the destination event has a scheduled survey of the same type that has not been started, the unstarted survey will be canceled.

## Remove Survey Data Collected in Error from Report

Sponsor-Controlled Access Only available when turned on by your study sponsor/CRO.

1. On the participant’s page, select **View All Past Surveys**. Alternatively, select the event the survey is associated with.
2. Select the completed survey you want to remove. You may need to [filter the list](/gr/ecoa/working-with-study-data/working-with-past-surveys/) to find the survey you want to update.
3. Select **Remove Survey** from the Actions menu ![{Actions menu button}](/gr/uploads/ecoa/images/icons/23R3_More_Options.png).
4. If updating a survey that has more than one part, select the parts you want to remove, and select **Continue**.
5. Enter a Reason for Change, and select **Submit**.

The survey is displayed in the list with a line through the survey title and it will not be included in future reports. If the survey has an open data change request, the request is automatically canceled. If you restore the survey later, that data change request will not be reopened.

## Restoring Survey Data to a Report

1. On the participant’s page, select **View All Past Surveys**. Alternatively, select the event the survey is associated with.
2. Select a survey that has been removed that you want to add back to reporting. You may need to [filter the list](/gr/ecoa/working-with-study-data/working-with-past-surveys/) to find the survey you want to update.
3. Select **Restore Survey** from the Actions menu ![{Actions menu button}](/gr/uploads/ecoa/images/icons/23R3_More_Options.png).
4. If updating a survey that has more than one part, select the parts you want to restore, and select **Continue**.

## Requesting Other Survey Data Changes

🛑 STOP: Check Your Access First!

You can make most data changes without reaching out to Veeva. Review the sections above and make sure you tried to make the change yourself before requesting a survey data change from Veeva.

Select to View Steps for Requesting Data Changes

If you become aware of an error you cannot update yourself, you can submit a data change request to Veeva. **Note that Veeva does not delete study data.**

To submit a survey data change request to Veeva for other data, complete the following steps:

1. Download the [Veeva eCOA Data Change Request Form](/gr/uploads/ecoa/downloads/Veeva-ePRO-Data-Change-Request-Form-v3.pdf).
2. Complete the form. Only one change can be requested per form. The following fields are **required** unless noted that they can be left blank. Fields may be left blank if they are not applicable to the change you’re requesting.

3. Have the study’s principal investigator or their designated representative sign the form. It is your responsibility to store the original signed form.
4. Email the signed form to **dcr@veeva.com** with a title of **eCOA Data Change Request**. We’ll review your request and, if approved, process the change in our system. If we have questions, we will contact you through email. After we process the data change, we’ll send you a confirmation email.

5. View the audit trail entries we provide you and export the survey data to verify that the change is correct. The exported data includes the updated data and an entry for the data change. See [Running Reports](/gr/ecoa/working-with-study-data/running-reports/) for more information.
6. If the change is correct, respond to the email to confirm it. If we don’t receive confirmation after three follow-up attempts, we’ll close the ticket.
